What a P&L is and what it tells management

A P&L (profit and loss statement) shows how much a company earned in a period, how much it spent and what was left. Each subtotal in the statement answers its own management question.

💰

How much the product earns

Revenue minus cost of sales gives gross profit. It shows whether the company sells profitably before any spending on offices, staff or marketing.

⚙

What the operating model costs

After selling, administrative and other operating items you get EBITDA: profit from core operations, unaffected by loans, taxes and depreciation. That makes it the easiest figure for comparing companies and periods.

🏁

What is left for the owner

Subtract depreciation to get operating profit (EBIT), then finance costs and income tax to get net profit. The gap between EBITDA and net profit shows how much debt and assets consume.

What is inside the P&L report

P&L is opened from the side menu of the financial report, next to the Overview, Cash Flow and Balance Sheet pages. All of them run on one data model and share the same year and company filters.

01

Year and group company selection

Year buttons in the header switch between the current and previous years. Company buttons show the P&L of one legal entity, several selected ones or the whole group consolidated. The filter applies across all report pages.

02

Monthly P&L matrix

13 lines in the classic structure: revenue, cost of sales, gross profit, selling expenses, administrative and other operating items, EBITDA, depreciation, EBIT, finance costs, profit before tax, income tax and net profit. Columns are months, and the year expands or collapses with one click.

03

YoY % variance on every line

Each monthly value has its change against the same month last year, highlighted with a data bar: green for better, red for worse. Cost lines use inverted logic, so higher cost of sales or admin expenses show as a deterioration.

04

KPI panel on the Overview page

Five figures for the year: revenue, EBITDA, net profit, cash and net debt / EBITDA LTM. The first screen for a manager who wants the state of the group in a few seconds.

05

Revenue and EBITDA by month

Two lines on one chart show seasonality and, more importantly, whether EBITDA grows with revenue. If revenue rises while EBITDA stays flat, costs are growing faster than sales.

06

Group company comparison

Each entity's share of group net profit, gross margin %, revenue and EBITDA side by side, plus net debt by company. You can see at once which companies lift the group result and which dilute the margin.

What the P&L report helps you do

The point is not to "have a P&L" but to get answers that used to take a week in Excel.

⏱

Close the month without manual consolidation

Data from accounting systems refreshes automatically, so the monthly P&L is ready as soon as entries are posted. The finance team stops copying tables between files and checking formulas.

🔍

Explain why profit changed

YoY variance breaks the change in net profit down line by line: what revenue added, what cost of sales took away, which operating expenses grew. The explanation for the owner fits on one page instead of a separate deck.

🏢

Find the weak link in the group

Consolidated profit can look healthy while one entity is losing money. Comparing margin and EBITDA by company shows where to look first.

📉

Keep expenses under control

Selling and administrative expenses appear every month next to revenue. If they grow faster than sales, you see it in the first month, not after year-end close.

🏦

Prepare for banks and investors

EBITDA, EBIT and net debt / EBITDA LTM are calculated in the report with one consistent method. These are the first figures lenders and investors ask for, and you no longer rebuild them for every request.

🔄

Link profit to cash

Net profit from the P&L becomes the first line of the Cash Flow page, which shows how much profit turned into cash and how much is tied up in receivables and inventory.

Who needs a P&L report in Power BI

The report delivers the most value to companies and groups that still assemble financial results by hand from several accounting databases.

💼

CFO

Gets a ready management P&L for every company and for the group, and spends time analysing variances instead of building spreadsheets.

🏢

CEO and business owner

Sees group revenue, EBITDA and net profit on one screen and can drill into any company or month without asking the finance team.

🧾

Chief accountant and group controller

Works with one calculation method for P&L lines across all entities. The report is built on the same postings, so accounting and management figures diverge less.

Where the P&L report gets its data

The report connects to your existing accounting and does not require changes to bookkeeping processes. During implementation, the Progresia team maps your chart of accounts to the management P&L lines so every amount lands in the right place.

🏛

Accounting systems

Account turnovers from BAS, 1C and other accounting systems via connectors or scheduled exports. No manual export is needed for the monthly report.

⚙

Dynamics 365 and ERP

Microsoft Dynamics 365 Business Central, Finance and other ERPs connect natively. Revenue and cost data come straight from transactions.

📊

Excel and SharePoint

Cost allocations, adjustments and management items kept in Excel connect through Power Query and refresh as soon as the file changes in SharePoint or OneDrive.

Several entities in one model

If group companies keep their books in different databases, we bring them into one model with a single list of P&L items. That gives you a consolidated P&L and a fair comparison of companies.

Implementation Four steps to a P&L report in 5–7 days Most of the early work is mapping the chart of accounts to P&L lines. We need data access and two meetings with you.
1
Days 1–2 Accounting and group structure review We review the chart of accounts, the list of entities and how management results are calculated today, then agree which accounts feed each P&L line.
2
Days 2–4 Connection and data model We connect accounting databases, ERP or Excel and build a model that calculates gross profit, EBITDA, EBIT, net profit and YoY variances.
3
Days 5–6 Reconciliation and access We reconcile report figures with statutory accounts for closed periods and set up access: a company head sees their entity, the CFO sees the whole group.
4
Day 7 Launch and training We publish the report to Power BI Service, set up scheduled refresh and show the team how to work with filters, the matrix and variances. 30 days of support included.

Frequently asked questions

How is a P&L report different from Cash Flow?
A P&L shows accrued income and expenses, i.e. whether the company made money. Cash Flow shows actual cash movement, i.e. whether there is money in the accounts. A profitable company can run short of cash if customers pay late. That is why the Progresia financial report puts both pages side by side on the same data.
Can I view the P&L for each entity and for the group?
Yes. Company buttons above the matrix switch between one entity, several selected ones or the whole group consolidated. The Overview page compares companies by net profit, gross margin, revenue and EBITDA.
How is the YoY % variance calculated?
Each month is compared with the same month of the previous year, which removes the seasonality that distorts month-on-month comparisons. For cost lines an increase is highlighted as a deterioration, so the colour always means the same thing: good or bad for profit.
Can a budget comparison be added?
The standard version compares actuals with last year. If you keep a budget in Excel or your accounting system, we add it during implementation as a second baseline: budget, actual and variance on the same P&L lines.
How often is the data refreshed?
On a schedule in Power BI Service, by default every morning. Sources that support it can refresh several times a day. No manual recalculation is needed.
Which Power BI licences are required?
Usually Power BI Pro for everyone who views the report. Pro is already included in Microsoft 365 E5. For a large number of viewers, Fabric capacity is more cost-effective. We will help choose the licensing model for your user count during the consultation.
